    The Full Guide

    A chatbot for a service business has a useful first job: answer a small set of routine questions, collect the details staff need, and hand the conversation to the right person. BotPenguin's documentation describes visual chatflows, lead capture, integrations and human takeover across several channels.

    Start with one queue, such as appointment requests or questions about a service area. Give it an approved answer set and name the person responsible for exceptions. That makes the first pilot easier to judge and maintain.

    Make the transfer part of the workflow

    BotPenguin documents chat transfers through its Inbox. The conversation must be accepted, and the receiving agent must be active and available. After a transfer, the new agent can see the conversation history.

    Include that step in your pilot. Request a person, transfer the accepted conversation and check what the next teammate receives. Then try the same journey when the intended teammate is unavailable. Decide where that request waits and who checks it during the next shift.

    Price the queue you actually have

    The pricing page separates plan allowances from add-ons for AI messages, extra team members, storage and selected platforms. List the channels and seats your team needs, then ask which message allowances apply to the planned workflow.

    For a useful quote, write down a typical week's incoming requests, how many need an AI answer and how many go to a person. Include the integration that saves the result in your existing system. Confirm the billing period and any channel charges before buying.

    Run a small, reviewable pilot

    Prepare sample messages before connecting customer traffic:

    • a routine question covered by the approved answer set;
    • a question the bot should pass to a person;
    • an incomplete appointment or lead request;
    • a repeat message from the same person;
    • a request that arrives while the team is unavailable.

    For each case, record the answer, the assigned teammate and whether a follow-up was completed. Review a sample of successful conversations as well as failures. A short manual pilot log is enough to expose missing ownership or unclear instructions.

    Our website-chatbot handoff checklist develops that process. If you are working out an implementation, describe the queue, current tools and handoff you need.
